THE GRANDMA HOME HOUSE RETREAT EVENT POLICIES AND PROCEDURES


Thank you for choosing The Grandma Home House Retreat (TGHHR) to host your special event. Our staff is dedicated to providing you the best service possible to make your event successful. To ensure that your event goes as planned, please read TGHHR policies and procedures.


PAYMENT


All events scheduled at TGHHR must be paid in full two weeks prior to your scheduled event. A deposit will be required at the time of booking with the Event Manager. Your event may also be guaranteed for payment with the following credit cards: American Express, Visa, Master Card and Discover. These may be used on our secure website. Your contract will fully outline the amounts for deposit and rental fees for your event.


CONTRACTS AND DEPOSITS


A signed contract and deposit will be required to reserve TGHHR. A deposit of 25% of the total rental cost is required to confirm the requested event date(s). A deposit of 50% of the total rental cost is due 60 days prior to the event date(s), and 100% of the total cost of the event is due 14 days prior to your event.


EVENT ORDER


To ensure a successful event, your final Event Order should be submitted to the Event Manager 30 days prior to your event. Catering or kitchen needs, room arrangements, outdoor seating and tent usage, as well as all other details pertaining to this event, should be listed on your event order. Anything not specified on your event order should not be expected. Any changes to your event order less than 30 days from your scheduled event must be approved or denied by the Event Manager.


CANCELLATION/REFUNDS


In the event that your function is cancelled, the deposit will be refunded based on the following schedule:

90 days or more: an amount equal to three-fourths (75%) of the deposit will be refunded.
60 days or more: an amount equal to half (50%) of the deposit will be refunded.
30 days or more: an amount equal to one-fourth (25%) of the deposit will be refunded.
29 days or less: non-refundable.

 

GUEST RESPONSIBILITY


An organization or individual scheduling an event (person actually signing the contract) will assume full responsibility for the behavior of guests attending the event. The same organization or individual will assume liability for damages incurred to the property of TGHHR. Flammable substances are not permitted on the grounds of TGHHR. All decorations must be discussed with and approved by the Event Manager prior to event. Any items brought in by the organization or individual must be removed from the property when the event is scheduled to end, unless prior arrangements have been made with the event manager.


Intoxicants


The use of all intoxicants is strictly prohibited on the property of TGHHR. These include, but are not limited to the following: alcohol, unlawfully used prescription drugs, and illegal drugs. If at any time during the event intoxicants are found on the property, the organization or individual hosting the event will be notified and the event will be immediately terminated. In the case that the event is terminated, there will be no refund. If illegal drugs are found, seen or suspected of being used, law enforcement will be notified without warning.

Pets


TGHHR has a no pets allowed policy, with the exception of Guide Dogs for the legally blind or those who are visually impaired. In this case, the individual or organization hosting the event will be held responsible for cleaning up after the pet.

 

WATER ACTIVITIES


All water activities at TGHHR are monitored by certified lifeguards provided by TGHHR. Life guards are provided at a ratio of 1:25 (one lifeguard per 25 guests), and the costs will be included in your contract.

AUDIO/VISUAL


Audio/Visual equipment, provided by TGHHR, is to be operated strictly by TGHHR staff and IT department. The organization or individual will be held responsible for any damages to audio/visual equipment during the event.

 

Prohibitory Policies


Weapons of any kind are NOT allowed. If an object or device is used in order to inflict damage or harm to living beings, structures or systems, then it is considered a weapon. If weapons are found, or suspected of being used or concealed, then law enforcement will be notified and the event will be immediately terminated. Hunting and fishing on TGHHR property is NOT allowed. Those who have taken any wildlife from TGHHR lake will be asked to return it, and must immediately leave the premises. If hunting and fishing take place during an event and is carried out by the responsible party or its guest(s), the event will be terminated and the offenders will be asked to leave the property.

Picking fruit and/or flowers on TGHHR property is strictly prohibited. If the responsible party or its guest is found gathering TGHHR flowers or its fruit, the event will be terminated and the offenders will be asked to leave the property.
